HubSpot Integration
Automatically create HubSpot contacts from contest entrants and add them to a list of your choice.
HubSpot is ideal for teams that want giveaway entrants in their CRM, ready for lists, workflows and follow-up.
What You'll Need
Before connecting, prepare:
Service Key
HubSpot -> Settings -> Integrations -> Service Keys. Create a key and copy it. A private app access token also works.
Required Scopes
Give the key crm.objects.contacts.read, crm.objects.contacts.write, crm.lists.read and crm.lists.write.
Target List
HubSpot calls lists 'Segments' in its UI. Choose or create the manual (static) segment entrants should be added to.
Note: The list must be manual (static). HubSpot rejects manual adds to active (dynamic) lists, so those do not appear in the picker.
Connecting to Your Promotion
Connect HubSpot in six steps:
Open promotion in dashboard
Go to Post Capture
Open HubSpot Connection
Enter Service Key
Select list
Click Connect HubSpot
Testing Your Integration
Validate syncing end-to-end:
Create a test promotion with HubSpot connected
Submit a test entry and tick the marketing-consent checkbox
Confirm the contact appears in HubSpot -> Contacts
Confirm the contact is a member of the selected list
Field Mapping
Each entrant who ticks the optional marketing-consent checkbox is created as a HubSpot contact with these properties:
Entrant email (HubSpot's required field)
firstname
Entrant first name
lastname
Entrant last name
Note: If the email already exists in HubSpot, Tokei adds that existing contact to the list instead of creating a duplicate.
Troubleshooting
Auth/key errors
Confirm you pasted the full Service Key and that it has all four scopes: crm.objects.contacts.read, crm.objects.contacts.write, crm.lists.read and crm.lists.write.
List cannot be selected
Only manual (static) lists appear. In HubSpot, create a segment with manual membership, since active (dynamic) segments reject manual adds.
Contact not added to the list
Open the contact in HubSpot and check its list memberships. Entrants who did not tick the marketing-consent checkbox are not synced.
Rate limit responses
HubSpot limits how many API calls an account can make in a short window. Retry after a delay and avoid rapid reconnect attempts.
