HubSpot integration

Giveaway entrants become HubSpot contacts after they enter β€” created in your CRM and added to the list you choose, ready for workflows, segmentation and follow-up.

What it does

Tokei creates a HubSpot contact for every entrant who ticks the marketing-consent checkbox, then adds that contact to a list you pick. If the email already exists in HubSpot, Tokei adds the existing contact to the list instead of making a duplicate.

From there the contact is a normal HubSpot record. Your workflows, lists and reports treat it like any other lead.

HubSpot

How contacts sync

  • 1Someone enters your promotion, submits their email and ticks the marketing-consent checkbox.
  • 2Tokei creates a HubSpot contact with their email and name.
  • 3Tokei adds the contact to your selected list.
  • 4Workflows that start from list membership run as usual.

How it works

Two things from HubSpot: a Service Key with four scopes, and a manual list for entrants to land in.

Service Key

HubSpot β†’ Settings β†’ Integrations β†’ Service Keys. Give it the scopes crm.objects.contacts.read, crm.objects.contacts.write, crm.lists.read and crm.lists.write.

Target List

HubSpot calls lists β€œSegments” in its UI. Choose or create a segment with manual (static) membership for entrants to land in.

HubSpot Development page, Legacy Apps tab, with the Create a service key button
In HubSpot, open Development β†’ Legacy Apps and click Create a service key. Newer accounts no longer offer legacy apps, and service keys replace them.

Connect in your Tokei promotion settings and save. Full walkthrough in the HubSpot setup docs.

Why it matters

A giveaway is a lead source. If your sales and marketing teams already live in HubSpot, entrants arriving there directly saves the CSV export and the import.

Only entrants who gave marketing consent are sent. People who declined, or who were never shown the checkbox, stay out of HubSpot.

Lists & segments

HubSpot has two kinds of list. Manual (static) lists hold whoever you put in them. Active (dynamic) lists fill themselves from rules.

Tokei adds contacts by hand, so it works only with manual lists. HubSpot rejects manual adds to active lists, and Tokei leaves them out of the picker. To use rules, point a workflow or an active list at the manual list afterwards.

Rate limits

Each entrant costs two HubSpot API calls. Free accounts allow about 100 calls per 10 seconds, so a very large burst of entries syncs over a few minutes. Tokei queues and retries them.

Field mapping

Tokei maps entrant details onto HubSpot contact properties:

lastnameEntrant last name

Common questions

My Service Key isn't working

Check that you pasted the whole key and that it has all four scopes. A private app access token also works. A Personal Access Key (used by the HubSpot CLI) does not.

My list doesn't appear in the picker

Only manual (static) lists appear. Create a segment with manual membership in HubSpot and reconnect.

Can I use different lists for different giveaways?

Yes. Each Tokei promotion connects independently, so you can point each giveaway at its own list.
